EmpathEra-AI Privacy Policy

EmpathEra-AI is an AI companion app designed to help users reflect, communicate, learn, and receive AI-generated responses.
This Privacy Policy explains what information EmpathEra-AI collects, how that information is used, which service providers may process it, and the choices available to registered and guest users.

1. Information We Collect
The information collected depends on which features you choose to use. It may include:
- Account information: your email address, login method, Firebase user identifier, subscription status, and basic account metadata.
- Guest-session information: an anonymous Firebase user identifier and the profile, usage, and chat information associated with that guest session.
- Chat content: messages you submit, relevant conversation context, conversation summaries, generated responses, thread titles, and timestamps.
- Images: images you intentionally select for an AI request, together with file information and stored image links.
- Voice information: voice recordings you intentionally create, together with the resulting speech transcript.
- Usage and technical information: app activity, feature usage, error information, device or app information, and technical data needed to operate and secure the service.
- Support information: information you provide when contacting support or reporting a problem.
2. How We Use Information
We use information to:
- Authenticate registered and anonymous guest users.
- Create, store, and display chat threads and messages.
- Process text, image, and voice requests that you authorize.
- Generate AI responses and maintain relevant conversation context.
- Transcribe voice recordings when you use voice input.
- Operate account, subscription, usage-limit, and safety features.
- Diagnose errors, prevent abuse, and improve service reliability.
- Respond to support, privacy, and deletion requests.
- Comply with legal, security, and regulatory obligations.
3. AI Processing and Your Permission
EmpathEra-AI uses third-party artificial-intelligence providers. Before the app sends a new AI request, it presents a disclosure and asks for your explicit permission.
The disclosure identifies the types of information that may be sent and names the AI providers that may receive it.
The information may include:
- Text messages you submit.
- Relevant conversation history or summarized context.
- Images you intentionally select.
- Voice recordings you intentionally create.
- Transcripts produced from those recordings.
Choosing Not Now closes the disclosure and prevents that AI request from being sent.
Choosing Agree and Continue records your permission and allows the requested AI feature to continue.
You may withdraw permission later from Settings > AI Data Sharing Permission. After withdrawal, no new AI request will be sent until you review the disclosure and agree again.
Basic authentication, account, guest-session, security, and locally stored app information may still be processed to operate the app even when AI data-sharing permission has not been granted.
4. Third-Party Service Providers
Google Firebase and Google Cloud
EmpathEra-AI uses Google Firebase and Google Cloud services for authentication, anonymous guest access, database storage, uploaded-image storage, backend processing, hosting, security, and related infrastructure.
Google Gemini
Google Gemini generally processes authorized chat messages, relevant conversation context, and intentionally selected images to generate AI responses.
OpenAI
OpenAI processes authorized voice recordings for speech transcription. OpenAI may also process relevant conversation context for summarization and may generate a response when the primary Gemini response is unavailable or fails.
A voice recording is sent for transcription only after permission has been granted and the user intentionally starts and completes a voice recording. The resulting transcript may then be submitted through the normal AI-chat process.
These providers process information under their own privacy policies, terms, and security practices. EmpathEra-AI takes reasonable steps to use established providers and to limit information sharing to functions needed to provide the requested service.
5. Guest Access
EmpathEra-AI can be used without providing an email address or password. Choosing Continue as Guest creates an anonymous Firebase account with a unique identifier.
Guest users may create chat threads, messages, uploaded images, usage records, and AI-permission information associated with that anonymous identifier.
Guest AI permission is separate from the permission associated with another registered or anonymous user.
Signing out does not by itself delete guest information. A guest who wants immediate deletion should use Delete Guest Data from the three-dot account menu before signing out.
6. Data Storage and Retention
Account, guest, chat, image, report, usage, and related service information may be stored using Firebase and Google Cloud infrastructure.
We retain information for as long as reasonably necessary to provide the service, maintain account and conversation features, resolve problems, prevent fraud or abuse, comply with legal obligations, or complete a deletion request.
Some limited records may be retained when reasonably necessary for security, fraud prevention, dispute resolution, legal compliance, or backup-system processing.
7. Your Choices and Controls
You may:
- Decline AI data sharing by selecting Not Now.
- Withdraw previously granted AI permission from the app's Settings screen.
- Avoid selecting images or using the microphone and voice features.
- Review this Privacy Policy from the app.
- Sign out of a registered or guest session.
- Delete a registered account or anonymous guest account.
- Contact us with a privacy or support question.
8. Account and Data Deletion
Registered accounts
Registered users may select Delete Account from the three-dot account menu. Password verification may be required to confirm ownership before permanent deletion.
Guest accounts
Anonymous users may select Delete Guest Data from the three-dot account menu. Guest accounts do not have a password, so no password is required.
The deletion process is designed to remove the associated Firebase Authentication account, user profile, chat threads, saved messages, reports, uploaded chat images, and locally stored AI-permission record.
Account or guest-data deletion cannot be undone.
If you cannot access the app or encounter a deletion problem, email empatheraai@gmail.com from the address associated with the account when applicable. We may request verification before processing a manual deletion request.
9. Other Sharing and Disclosure
In addition to the service providers described above, information may be disclosed when reasonably necessary to:
- Comply with applicable law, regulation, or legal process.
- Protect users, EmpathEra-AI, or the public from harm or abuse.
- Investigate fraud, security incidents, or service misuse.
- Enforce applicable terms and protect legal rights.
10. Children
EmpathEra-AI is not currently intended for children under 13. If we learn that personal information from a child under 13 was collected without appropriate authorization, we will take reasonable steps to delete it.
11. Security
We use reasonable technical and organizational measures intended to protect user information. However, no internet-based service can guarantee complete security.
Users should protect account credentials and avoid submitting information they do not want processed by the app or its disclosed service providers.
12. Changes to This Policy
We may update this Privacy Policy as EmpathEra-AI develops or as its features, providers, or legal obligations change. The updated date at the top of this page will show when the policy was last revised.
Material changes may also be communicated in the app or through another appropriate notice.
